START WITH THREE DECISIONS
  1. Where will it be sold?List every selling country, not only the first port or fulfillment centre.
  2. How will stock move?Distinguish bulk marketplace inventory, individual customer parcels and local returns.
  3. Who approves the evidence?Name the responsible seller, adviser or broker and the warehouse release approver.

Agree the role, not just the shipping address.

Name the seller, customs importer, product-safety responsible party, tax collector and EPR producer where applicable. These roles can belong to different entities. Our China warehouse can support agreed receiving, inspection, labelling, packaging and records; importer, tax-agent, testing or regulatory-representative services are confirmed separately.

COUNTRY & MARKET GUIDE

Check the actual selling destination.

The EU baseline applies alongside each member country’s additions. Other destinations below are planning references; confirm product scope, route and service availability before sending stock.

European Union — shared baselineRead this first for every EU destination; then check the country additions below.GPSR · IOSS · packaging

Customs & tax planning

  • Identify the customs declarant, importer, EORI where required, tariff code, actual origin and transaction value. For inventory held in EU fulfillment centres, have your tax adviser assess local VAT registrations and subsequent stock transfers.
  • IOSS can cover eligible imported B2C distance sales of non-excise goods in consignments not exceeding €150. It concerns VAT; it does not cover bulk FBA imports or remove product-safety obligations. Share IOSS data only through the agreed secure carrier or broker channel.
  • Since 1 July 2026, qualifying low-value distance-sale consignments up to €150 attract a temporary €3 customs duty per tariff-classification item, rather than per physical unit or parcel. Confirm grouping and exceptions with the broker. Five identical T-shirts can be one €3 item; a T-shirt plus a watch can be two (€6).
  • Prepare product identifiers for the new distance-sale customs requirements scheduled to become mandatory on 1 November 2026. Ask the declarant which identifiers and data fields apply to your entry.

Product, labels & packaging

  • For products within GPSR scope, establish the EU responsible economic operator, product identification, safety evidence and traceability. Applicable online offers need manufacturer details, EU responsible-person details where required, and relevant warnings.
  • Apply CE marking only where sector legislation requires it. Match technical documentation, declarations, model numbers and applicable tests to the actual goods; also assess substance, electrical, battery and waste rules by category.
  • PPWR generally applies from 12 August 2026, with obligations phased over different dates. Review your packaging role, EPR representation and national registration obligations; do not assume every future packaging label rule already applies.

Before warehouse release

  • Separate country-specific artwork, language instructions and batches before consolidation. Keep approved responsible-person details and label versions against the SKU. A warehouse in China is not your EU responsible person.

Official sources

United StatesChina-to-US FBA / WFS inventory and direct customer parcels.Importer · certificates · eFiling

Customs & tax planning

  • Confirm importer of record, entry method, HTS classification, origin, value and broker authority before dispatch. Amazon or Walmart receiving an inventory shipment does not appoint them as your importer.
  • Do not budget on the former $800 duty-free de minimis rule: CBP reports its suspension for all countries from 29 August 2025, subject to limited exceptions. Obtain current duties and route charges from the broker; tariff rates can change.

Product, labels & packaging

  • Where CPSC certification rules apply, the importer must arrange the relevant GCC or CPC and supporting evidence for the specific product. Children’s products can require testing by a CPSC-accepted third-party laboratory.
  • CPSC certificate eFiling generally applies to covered imports from 8 July 2026; the Foreign Trade Zone date is 8 January 2027. Agree who submits the data before departure. Category-specific FCC, FDA or other agency rules may also apply.

Before warehouse release

  • Keep the certificate model, test references and batch matched to the physical goods. Preserve country-of-origin and mandatory warnings when applying FNSKU, WFS or bundle labels. Use current seller-generated unit and carton labels; marketplace prep approval is separate from legal compliance.

Official sources

United KingdomConfirm Great Britain or Northern Ireland before approving artwork or a shipping quote.GB / NI · VAT · markings

Customs & tax planning

  • For eligible direct B2C sales of goods outside the UK in consignments of £135 or less, VAT is generally accounted for at sale; marketplace and business-customer rules differ. The threshold is per consignment, not per item.
  • Above £135, normal import VAT and customs rules apply. Bulk warehouse imports need their own importer, EORI and VAT plan. Confirm duty treatment at shipment time, including changes to low-value import rules.

Product, labels & packaging

  • Great Britain continues to recognise CE marking for covered sectors alongside UKCA; select the route under the actual product regulations rather than automatically replacing CE. Northern Ireland has a different regime.
  • Confirm applicable importer identification, English safety instructions and category-specific evidence. Packaging EPR responsibilities depend on the business role and applicable thresholds.

Before warehouse release

  • Maintain distinct GB and NI destination briefs. Do not cover statutory warnings or importer details with marketplace labels. For local returns, agree the seller’s refund decision process: distance-sale cancellation rights generally include 14 days, with exceptions.

GermanyApply the EU baseline plus German packaging obligations.LUCID · packaging evidence

Customs & tax planning

  • Confirm VAT treatment for German stock and sales with your tax adviser. Do not use IOSS as the import method for bulk inventory.

Product, labels & packaging

  • Check producer status and LUCID registration under the current PPWR framework. Packaging subject to system participation also needs a system agreement and packaging-volume reporting; a register entry alone is insufficient.
  • ZSVR’s current guidance requires foreign businesses without a German branch selling packaging or packaged goods directly to German end users to appoint an EPR authorised representative. Assess separate electrical-equipment and battery responsibilities where relevant.

Before warehouse release

  • Collect weights and material types for retail packaging, shipping cartons, tape, inserts and protective materials. Approve German safety information for the relevant product, and retain registration and system evidence with the SKU brief.

FranceApply the EU baseline plus French product-stream and sorting requirements.EPR streams · sorting labels

Customs & tax planning

  • Review VAT registration where French inventory is stored and the tax consequences of transfers between EU warehouses.

Product, labels & packaging

  • Identify each applicable French EPR stream, such as packaging, textiles, electrical equipment or batteries. Confirm registration, scheme membership and the relevant unique identifier (IDU). One registration does not necessarily cover every stream.
  • Review French safety information and applicable Triman / Info-tri instructions with the relevant scheme. Confirm sector exceptions and the interaction with phased EU packaging rules before printing artwork.

Before warehouse release

  • Keep French artwork and sorting instructions as an approved version. Record packaging components and material weights; ask the adviser or scheme to approve placement before repacking or adding inserts.

SpainApply the EU baseline plus Spanish packaging registration and reporting.RPP · packaging records

Customs & tax planning

  • Confirm local VAT obligations for stored inventory. Have the adviser assess any non-reusable plastic packaging tax exposure and supporting material records for your import route.

Product, labels & packaging

  • Check who is the packaging producer under PPWR and the current Spanish framework; assess registration in the RPP packaging section, EPR participation, representation and annual reporting.
  • Approve Spanish product warnings and instructions where required. Check separate registrations for regulated electrical products and batteries rather than treating packaging registration as universal.

Before warehouse release

  • Keep the RPP reference and applicable EPR evidence with the responsible seller’s brief. Record packaging weight, material composition and recycled-content evidence requested by the adviser; reconcile quantities actually released to Spain.

ItalyApply the EU baseline plus Italian environmental packaging information.Material codes · sorting

Customs & tax planning

  • Review Italian VAT exposure where inventory is held and identify the importer and customs declarant for bulk shipments.

Product, labels & packaging

  • Check applicable packaging environmental labelling, material identification and consumer sorting instructions against current national guidance and PPWR transition dates.
  • Assess who has packaging EPR obligations and approve Italian safety information for the product. Electrical equipment, batteries and other regulated categories require a separate review.

Before warehouse release

  • Map each separable packaging component to its approved material code and sorting information. Keep digital labelling instructions only where permitted and approved; do not assume a QR code can replace every required physical label.

NetherlandsApply the EU baseline; a Dutch entry point does not settle every EU selling market.EU stock · destination duties

Customs & tax planning

  • Distinguish the country of import, stock storage and final customer sale. Ask the tax adviser to map Dutch VAT, any OSS use and subsequent EU inventory transfers.

Product, labels & packaging

  • Assess packaging EPR duties for the producer or importer and current PPWR changes. Review product-specific waste streams and any single-use-plastic rules.
  • Confirm the required consumer-language information for the actual product and selling markets; a Netherlands hub does not remove German, French or other destination obligations.

Before warehouse release

  • Keep packed-product and packaging-volume records by destination. A mixed EU shipment needs country-level SKU artwork and release instructions rather than a single “Europe compliant” label.

CanadaAdditional destination planning; confirm route and service availability with the team.CARM · bilingual labels

Customs & tax planning

  • For commercial imports, confirm the importer’s business number, importer programme account and CARM setup, broker authority, classification and duties/taxes. China-origin shipments should not be budgeted using US/Mexico-specific relief.

Product, labels & packaging

  • Check Canada Consumer Product Safety Act requirements, product-specific rules, recordkeeping and incident obligations. The customs importer of record and the product-safety importer are not necessarily the same legal role.
  • For prepackaged non-food consumer goods, assess mandatory label content and bilingual requirements, including product identity and net quantity, with applicable exceptions. Confirm additional Quebec requirements where sold there.

Before warehouse release

  • Approve Canadian-market artwork and match documents to the model/batch. Keep import records and regulatory contact details distinct from FBA delivery references.

AustraliaAdditional destination planning; confirm product and carrier acceptance first.GST · product standards

Customs & tax planning

  • Assess GST responsibility for eligible low-value imported consumer goods and the A$75,000 registration turnover threshold. Goods in consignments over A$1,000 generally follow border GST, duty and clearance procedures; exceptions and marketplace rules need review.

Product, labels & packaging

  • Check the applicable mandatory safety and information standards, bans and recalls before supply. Australian rules are product-specific; CE marking does not establish Australian compliance.
  • Electrical/radio goods, cosmetics, toys and products with button batteries need category-specific review. Have the responsible supplier confirm any required testing, registration or markings.

Before warehouse release

  • Match test evidence to the actual model and materials, approve English warnings and verify battery packaging and route restrictions before receipt. Keep hazardous or recalled returns isolated pending an approved decision.

JapanAdditional destination planning; confirm the importer and product category before sourcing.PS marks · domestic administrator

Customs & tax planning

  • Confirm tariff classification, customs duty, consumption tax and the responsible importer for commercial stock. Do not apply personal-use valuation or allowances to inventory intended for resale.

Product, labels & packaging

  • Identify whether PSE, PSC or other PS-mark product rules apply and secure the relevant technical evidence, inspections, notification and Japanese labelling before sale.
  • Since 25 December 2025, overseas businesses directly selling covered PS-mark products to Japanese consumers are within the specified-importer framework, including notification and appointment of a domestic administrator. Applicability depends on the product and sales model.

Before warehouse release

  • Match the approved Japanese instructions and marks to the exact model. Record the importer or domestic administrator and approval references before relabelling or dispatch. A local return address does not appoint a domestic administrator.

PRODUCT-SPECIFIC BRIEF

Match supplier evidence to the actual goods.

Use these questions to prepare a product review. Several categories can apply to one SKU; a battery-powered toy, for example, needs both product and transport checks. Product acceptance and specialist review must be agreed before stock arrives.

Toys & children’s products

Evidence to request and review

Ask the supplier for the intended age group, model and material specifications, small-part or component details, applicable reports and the approved warnings for each market. Have the responsible reviewer identify the required testing and certification for this exact product.

Warehouse instructions to agree

Agree model/variant identification, component counts, warning visibility and batch traceability. Keep substituted materials or unexplained report-model differences for review before the affected stock is released.

Review the evidence handoff
Electrical & radio devices

Evidence to request and review

Identify power ratings, plugs, chargers, radio functions and included accessories. Obtain the model-specific technical evidence and approved instructions for the intended markets; ask the specialist to confirm the applicable electrical, radio and substance requirements.

Warehouse instructions to agree

Match the product, adapter and accessory versions to the approved specification. Separate country plug variants and avoid substituting chargers or covering ratings/required marks during prep.

Review the evidence handoff
Batteries & battery-powered goods

Evidence to request and review

Record chemistry, battery model, capacity/rating, configuration and transport evidence. Ask the carrier or dangerous-goods specialist to approve the actual product and route, including whether the battery is installed, packed with equipment or shipped alone.

Warehouse instructions to agree

Agree storage and handling acceptance before arrival. Identify swollen, damaged or leaking units, isolate them under the agreed procedure and obtain specialist instructions before any onward or return shipment.

Review the evidence handoff
Cosmetics, liquids & chemicals

Evidence to request and review

Provide ingredients/material composition, intended use and claims, container details, batch/date references and available safety information. Ask the destination specialist to identify any product notification, labelling or transport restrictions before approving supply.

Warehouse instructions to agree

Agree product acceptance, leakage checks, batch/date handling and storage conditions. Preserve approved ingredient and safety information when applying labels; changes to formulas or claims need renewed review.

Review the evidence handoff
Food-contact items, food & supplements

Evidence to request and review

Describe the intended use, contact materials, temperature/use conditions or formulation, as applicable. Request relevant supplier evidence and have the specialist identify the destination requirements. Confirm whether the warehouse accepts the product and requested handling.

Warehouse instructions to agree

Agree hygiene, lot/date traceability and any special storage requirements. Keep evidence of changes to coatings, materials or packaging, and do not use a report for a different model as release approval.

Review the evidence handoff
Textiles, accessories & branded sets

Evidence to request and review

Obtain fibre/material details, sizes, variants, supplier/model references, artwork and any relevant brand authorisation. Ask the reviewer to confirm product labels, claims and applicable product/packaging responsibilities in each selling market.

Warehouse instructions to agree

Keep variants and artwork versions distinct, verify the agreed bundle contents and preserve approved labels. A new own-brand presentation or component substitution should be reviewed before repeat packing.

Review the evidence handoff
Returned, recalled or modified stock

Evidence to request and review

Provide the original SKU/batch, return reason, recall or safety information, prior evidence and proposed restock, rework or disposal decision. Have the responsible party assess whether the condition or modifications affect safe resale or transport.

Warehouse instructions to agree

Separate suspect stock from approved inventory. Record what was actually inspected, any missing components, completed rework and the named decision owner before returning units to saleable stock.

Review the evidence handoff
Check the supplier evidence before using it for release
  1. Match the scope: compare model, manufacturer, materials, accessories, intended use and market against the report or declaration. Record unexplained differences.
  2. Check the issuing reference: keep the report number, issuer, issue date and file version. Ask the appointed reviewer to verify authenticity and laboratory scope through the issuer’s official contact or verification channel where available.
  3. Confirm applicability: have the reviewer identify the rules and standards relevant to the actual product. A document title, logo or supplier’s “compliant” statement does not establish that the evidence covers your goods.
  4. Record the decision: retain what was reviewed, by whom, on what date and what remains unresolved. Link evidence references to the SKU/batch release record.
  5. Recheck after changes: a new model, material, component, claim, artwork, destination or returned condition may require a new review. Keep superseded files and approvals traceable.

Documents to prepare for the China warehouse and export handoff
  • Product identity: SKU, variant, model, manufacturer, supplier / PO, batch and intended selling countries. Keep brand or design authorisation where relevant.
  • Commercial handoff: accurate invoice descriptions, quantities, currency, value, origin and proposed tariff classification for broker confirmation. Match the packing list to the final cartons, dimensions and gross weights; agree the China export declarant and any product-specific permits.
  • Safety evidence: applicable model-specific reports, declarations, certificates, required registrations and the responsible party’s approval. Ask the specialist whether new tests are needed after a material or design change.
  • Approved artwork: language instructions, warnings, responsible-party information, batch references and current marketplace files. Record both the version and placement instructions.
  • Packaging and transport: component material weights, any EPR evidence, battery / dangerous-goods documents and carrier acceptance for the actual route.
  • Release and returns: open issues, held quantities, named approver, approved destination and the agreed return / recall decision owner. Import CSV identifiers as text; write “unknown” for missing information and resolve required evidence before release.

Keep one checklist row per SKU, model, batch and destination. The blank CSV is a planning record, not a customs declaration or marketplace upload file.

Common terms in your destination brief
Customs importer / importer of record
The party named for the customs import role. Confirm its identity and authority with the broker; a marketplace delivery address alone does not identify it.
Responsible person / product-safety contact
The party performing the applicable product-safety role. Keep this separate from the customs and tax roles when completing your brief.
VAT / GST and IOSS
VAT and GST are consumption-tax systems. IOSS is an EU scheme for eligible imported distance sales. Record who collects and accounts for tax for your actual sales model.
EPR
Extended producer responsibility. Identify the product or packaging stream, country, obligated party and supporting registration or scheme evidence.
CE / UKCA and declarations
Product conformity marks used under relevant sector rules. Match the applicable declaration and technical evidence to the model and destination before approving artwork.
GCC / CPC
US General Certificate of Conformity / Children’s Product Certificate. Check whether certification applies and match the evidence to the imported product.
UN 38.3
Battery transport testing referenced in the applicable test summary. Carrier acceptance, packing instructions and other route requirements need their own confirmation.
HS / HTS classification
The tariff classification used for customs. Ask the broker to confirm the code against the actual goods; do not reuse a generic supplier code without review.

Extra checks for batteries, regulated products and returns

Batteries, liquids and dangerous goods

Identify the battery chemistry, rating, configuration and whether it is shipped alone, with equipment or installed. Obtain the applicable UN 38.3 test summary and other required transport evidence. Confirm packing, state-of-charge requirements, marks and carrier acceptance for the actual air, sea or road route. An SDS alone does not establish transport approval. Damaged or defective batteries need a separate assessment before any return shipment.

Products needing a category-specific review

Toys and children’s goods, electrical or radio devices, cosmetics, food-contact products, food, supplements, medical products, textiles and chemicals can have additional tests, notifications, warnings or restrictions. Confirm that the supplier’s evidence covers the exact SKU, model, materials and intended claims before approving receiving or dispatch. Agree product acceptance with the team.

Local returns, refunds and safe resale

EU online sales generally carry a 14-day withdrawal right, subject to exceptions, alongside rights for faulty goods. UK distance-sale and refund rules need their own review. Have the seller approve the customer policy and statutory deadlines; a warehouse disposition record does not replace a refund decision. Keep recalled, suspect or damaged stock on hold, preserve batch traceability and confirm safe resale or an approved local disposal route. Assess customs requirements again before cross-border onward shipment.

WORKED PLANNING SCENARIOS

Connect the requirement to a stock decision.

These examples are fictional. Use them to discuss your records and approval process; the quantities and proposed actions do not authorise a real shipment.

One supplier batch, two EU selling countries

The situation

A batch of 300 pieces is intended for Germany (120) and France (180). The goods are consolidated in Guangzhou, but the two country artwork files and packaging records are at different review stages.

The handoff to agree

Keep one release record for each country allocation, linked to the same supplier batch. Review the shared EU requirements and the national additions; match approved artwork and evidence to the corresponding units. Preserve the allocation in the stock and carton records.

The decision to record

If only the German allocation is approved, record the named approval for those 120 pieces and keep the French 180 pieces identified as held. A mixed carton should not be released under the German record while it still contains held stock.

Germany guide · France guide
Packaging changes after a sample is approved

The situation

The sample uses artwork V1. Before bulk packing, the supplier sends V2 with different material information or warning placement.

The handoff to agree

Identify the affected SKU, batch and remaining V1 materials. Ask the evidence owner to review the change and approve the actual V2 file and placement instructions. Agree how to distinguish already packed V1 units from stock awaiting V2.

The decision to record

Keep the affected stock on hold until the required review and agreed physical recheck are complete. Link a new evidence version and release record to the earlier approval; retain the old decision rather than overwriting it.

Review evidence and versions
Bulk inventory changes to individual customer parcels

The situation

Stock originally prepared for a marketplace fulfillment centre is now intended to ship directly to customers from Guangzhou.

The handoff to agree

Review the new fulfillment model by destination: order contents, package artwork, tax collection, declarations, carrier acceptance and returns arrangements. Ask the broker and responsible reviewer which existing files remain applicable and which need updating.

The decision to record

Create records for the actual parcel route and seller’s approved order-release process. Do not reuse the bulk shipment approval as authority for the new route; keep old carton plans and unused labels separated from current order instructions.

Review the customer-order workflow
A returned set has missing or changed components

The situation

Twenty returned sets are received locally. Eighteen match the agreed visible component checks; two have missing or substituted accessories. The visible check alone does not establish safe resale.

The handoff to agree

Link the returns to the original SKU/batch and approved set specification. Record the actual inspection coverage and findings, isolate the two affected sets and have the responsible owner assess any further checks needed for all proposed resale stock.

The decision to record

Record condition review, completed rework and the named disposition decision separately. Only the quantity specifically approved for resale returns to available stock. Any cross-border onward shipment needs a reviewed route and shipping instructions.

Review the local returns workflow
When should the compliance brief be reviewed again?
  • Product changes: new supplier, model, materials, formula, component, intended age/use or product claims.
  • Artwork changes: new language, warning, responsible-party details, brand, packaging material or label placement.
  • Market or route changes: another selling country, stock-storage country, fulfillment model, importer, carrier or transport mode.
  • Stock condition changes: damage, a safety concern, recall information, returned condition, missing parts or completed rework.
  • Evidence or rule changes: a revised document, registration status, official guidance or a new concern raised by the appointed reviewer or broker.

Identify the affected scope, assign a review owner, record held quantities where required and link the revised evidence to a new decision. Keep the last review date and next review date visible; a planned review date does not itself permit release.

The same dispatch serves one order in two parcels. Dimensions, gross weight and charges appear on one row per parcel. One parcel is delivered; the other is still in transit.

USD 17 quoted · USD 18.50 billed across 2 parcels

Check the import and the shared references.

  • Import SKU, carton and tracking columns as text. Confirm 000101 and carton 0001 retain their leading zeros.
  • The carton and parcel files describe the same completed handoff. Reconcile their quantities; enter that dispatch once in the stock balance.
  • Use unknown for an unconfirmed event or input. Use 0 for a confirmed zero. Leave repeated parcel or carton measurements blank where the filling guide directs.
  • These examples use NA for an agreed not-applicable field. A pending input or approval remains unknown.

Start with an inventory list and a clear destination plan. You do not need every shipping label at the first conversation, but product quantities, handling needs, and supplier references help us build a useful scope.

1. Identify your stock

List each SKU, product name, variant, expected quantity, and supplier. Keep similar sizes, colours, or bundles on separate lines. Record product identifiers as text so leading zeros are preserved.

2. Describe the work

Include product photographs or a specification reference, inspection requirements, packaging instructions, bundle components, and any fragile, liquid, battery, or oversized items.

3. Set the destination

Share the selling channel, receiving country, target schedule, and shipment plan where available. Confirm the final address and label files before release.

Suggested inventory fields

Use these field names in your own inventory list. Mark unknown values as “unknown” for the initial discussion, include measurement units, and update final carton data before release. The example below is illustrative; it does not describe an actual customer shipment.

Keep channel identifiers and label versions together

Use one row per SKU and variant for each supplier/PO delivery. Separate different suppliers, purchase orders and delivery batches, and retain the inbound tracking reference for each arrival. Add ASIN and FNSKU where applicable for Amazon, and UPC or GTIN for US WFS. Keep all identifiers and tracking references as text; leading zeros are part of the identifier.

Record the active label file and version, shipment-plan reference, bundle components where relevant, and who approves exceptions and release. Mark unknown values as “unknown” in the initial brief, then update final carton data before dispatch.

Track the decision for affected stock

Use the receiving record to link a discrepancy to the affected quantity, photo reference, proposed action and any extra-work quote. Record approval before the action is carried out, then keep evidence of the completed work and agreed recheck. Action approval and work completion are separate from the final release decision for the exact quantity.

Use the dispatch record for the final carton contents, product-label file and version, carton receiving-label file and version, shipment-plan version and carrier handoff. Link affected changes and rechecks to the release approval covering those current versions. Read the record filling guide (TXT).

Connect stock, parcels and return decisions

Use the same SKU and order references to reconcile what is held, what has left and what comes back. These blank planning records supplement your inventory brief; agree the reporting method and update frequency with the team.

Keep identifiers as text, use cm and kg for measurements, and record timestamps with a timezone. These files are discussion templates; they are not ready-to-import files for a sales platform.

Choose a record for the decision in front of you

Start with the task below, read the linked guide, then complete the matching blank record. Confirm the checking scope and approval owner before sending stock or instructions.

Keep identifiers as text, use cm and kg, and include a time zone with stock snapshots. A completed template records the agreed work; it does not authorize additional handling or replace a marketplace import file.

Before inventory arrives

  • Agree the service scope and receiving reference
  • Share expected supplier arrivals and inbound tracking
  • Fix the product specification and inspection criteria
  • Confirm storage or consolidation instructions
  • Identify who can approve exceptions and final release

Before the shipment leaves

  • Reconcile approved SKUs and quantities with actual cartons
  • Check current product, marketplace carton, and carrier labels
  • Record final carton count, dimensions, weight, and packing list
  • Resolve affected stock, record the approved action and recheck, then approve the exact release quantity
  • Confirm collection, destination, and agreed shipping documents

For customer orders from Guangzhou

Prepare the stock brief first, then agree how individual orders will be released from that inventory.

  • List the stock SKUs and quantities to receive in Guangzhou
  • Describe a typical order: items, units, bundles, and packing instructions
  • Share expected order volume and the delivery countries
  • Agree order submission, dispatch reporting, and tracking handoff
  • Set stock replenishment rules and who approves substitutions or shortages

Branded packaging, inserts, bundles, and special products should be reviewed with the product and route. An automated store connection is confirmed only after the actual workflow is agreed.

Plan customer order fulfillment

For local returns

Build a return brief for the specific destination. The return country is the receiving market; it does not mean the goods must return to China.

  • Confirm the country, receiving address, and accepted product scope
  • Provide SKU, order, or return references and expected monthly volume
  • Agree condition checks, evidence, and how to record exceptions
  • Name the person who approves restocking, repacking, onward shipment, or disposal
  • Confirm the next stock destination and any storage instructions

For an initial inquiry, use product and order references without customer addresses or personal information. Confirm the local return instructions before customers send items.
