MY CHINA WAREHOUSING — COMPLIANCE RELEASE CHECKLIST Filling instructions | 6 October 2026 Related guide: /resources/#compliance-guidance Purpose Use the blank CSV to connect a specific SKU/model, batch and destination to the evidence and release decision approved by the responsible parties. It is a planning record, not a customs declaration, legal determination, compliance certificate or marketplace upload file. Confirm the scope of actual warehouse checks separately. One row per record Use one row per SKU/model, batch, destination and release decision. If evidence, artwork, quantity or the approval changes, create a new Record Reference and identify the earlier record in Superseded Record Reference. Retain earlier evidence and decisions. Do not apply a new approval to unrelated stock or another destination. Importing and missing values Import SKU, model, batch, tariff codes and all document/registration references as text so leading zeros are retained. Use UTF-8 and ISO dates (YYYY-MM-DD). Write "unknown" for information that is required but not yet confirmed. Use 0 only for a confirmed zero. Use "not applicable — reason reviewed by [owner]" when the responsible reviewer confirms a field does not apply. A blank or unknown field is not an approval. Identity and sales model Identify the selling country, actual channel and fulfillment model: bulk marketplace inventory, individual customer parcel, local return or onward shipment. List a specific country, rather than only "Europe". Keep the first customs entry country separate in supporting shipment records if different. A change in model or destination needs review. Values and quantities Declared Value and Currency must have an explicit valuation basis in the commercial invoice reference kept with the record (for example, unit value or line total). Ask the broker to confirm customs valuation. Do not use a warehouse estimate as an approved customs value. Affected Quantity and Release Quantity refer only to this record's batch and destination. Specify the Quantity Unit (pieces, sets, cartons, etc.). Avoid mixing units; link components and finished sets through the agreed stock record. Record Hold Location for affected stock. Do not sum superseded rows with current rows, or count the same stock in several destination records. Responsible parties Customs Importer: confirm the customs import role with the broker. Product Safety Responsible Party: identify the applicable product-safety role. VAT GST Responsibility: identify the party and scheme for this sales model. Registration References: link applicable tax/EPR/other registration evidence. Evidence Reviewer: identify who confirms that the product, evidence and destination match. Warehouse physical checks and regulatory review are separate responsibilities. These roles may belong to different entities. A freight quote, marketplace receiving address or local returns address does not appoint any of these parties. Evidence and versions Record exact report, declaration, certificate and label references rather than "certificate available". Use Evidence Version and Evidence Review Date to identify the reviewed set of files. Keep the approved label version and placement instructions matched to the physical goods. Packaging Material Weight Reference points to the component/material record, with its measurement units. Battery DG Evidence Reference points to the applicable transport file set. Record affirmative Broker Carrier Acceptance with a reference to the route and product scope; do not infer acceptance from an unconfirmed quote. Optional supplier evidence register Use compliance-evidence-register.csv when several documents support a release. Create one row per document/version, SKU/model, batch scope and destination. Use a distinct Evidence Record Reference and link it through Related Release Record Reference. Batch Scope Reference can point to an agreed list of covered batches; do not assume a report applies to all production. Record issuer, document number, issue date, version, product/material scope, applicable rules/standards and secure file reference. Import all identifiers as text. Record Verification Method Reference, Verification Owner and Verification Date for the verification actually performed. A supplier sending a file is not issuer verification. Review Decision may be "pending review", "matches reviewed scope", or "scope gap / hold". These describe the review record; none is a regulatory certification or warehouse release approval. Record unresolved issues, their owner and the next review date. Retain superseded evidence; do not silently overwrite the file or its prior review. Resolve affected evidence gaps before recording an approved release. Tax credentials and customer data Do not store passwords, full IOSS credentials or customer addresses in this planning CSV. Keep confidential credentials and personal data in the agreed secure system. Use a reference here instead. Decision vocabulary Pending review: the evidence owner has not yet confirmed an issue or requirement. Record Open Issues, Open Issue Owner and Next Review Date. Hold: identify affected stock, quantity and location, then record the action or evidence needed before release. Approved for release: the named Release Approver has approved the exact quantity, destination and evidence/artwork versions. Record Release Approval Timestamp with a timezone (for example, 2026-10-06T14:30:00+08:00). These are operational record states. A status entered in the sheet does not itself establish regulatory compliance, authorise customs clearance or replace the approver's documented decision. Worked planning example (fictional, not an actual shipment) Record Reference: EXAMPLE-REVIEW-01 SKU: EXAMPLE-001 Batch Reference: EXAMPLE-BATCH-A Destination Country: Germany Fulfillment Model: bulk marketplace inventory Affected Quantity: 120 Quantity Unit: pieces Open Issues: approved German artwork reference not yet confirmed Open Issue Owner: designated seller artwork reviewer Release Decision: Hold Release Quantity: 0 Hold Location: agreed location reference Next Review Date: unknown (issue owner to confirm an ISO date) After the named reviewer supplies and approves the artwork, record the revised evidence version, the completed warehouse checks and the release approver's decision in a new record. Link the prior record, specify the approved quantity and timestamp, and reconcile the released units against the stock/dispatch records. Do not turn the original hold into an untraceable approval. When to review again Review after changes to destination, supplier/model/materials, product claims, artwork, responsible parties, route, returned condition or relevant rules. Follow the official links in the destination guide and record the source reviewed. The guide's publication/review date is not a guarantee that your shipment has been cleared.
