One supplier purchase can support several replenishment batches. Give each release its own stock allocation, carton record and approved destination instructions. This helps keep goods still held in China separate from goods in transit or received abroad.
Choose where stock waits
China storage requires an agreed preparation and international transport plan for each release. Destination storage requires a confirmed receiving facility, local inventory record and onward-delivery scope. Compare handling, storage, freight and expected readiness using your actual stock; neither arrangement guarantees a lower cost or faster availability.
Make a release brief for each batch
- Release reference, SKU quantities and applicable product or assembly version.
- Current marketplace shipment plan and the receiving address for each shipment.
- Actual carton contents, box IDs, packed dimensions and gross weights.
- Collection method, carrier references and requested schedule.
- Applicable delivery booking, documents and the party responsible for confirming them.
- Exceptions, approvals and the quantity left in storage after allocation.
A consolidated China receiving project does not guarantee a single marketplace destination. Use the destinations assigned in the current shipment plan and match the carton groups to the actual carrier bookings.
Confirm partial and multi-carrier deliveries
If an order is split between air and sea, different carriers or different receiving dates, confirm how the marketplace shipment references and delivery bookings should be created for those actual movements. Ask the receiving and transport parties before splitting a previously approved release. Old forum appointment rules should not be treated as current instructions.
Assign carton groups to the actual movement
For each replenishment batch, connect carton numbers to the intended receiving location, final carrier references and applicable booking. If cartons move through an intermediate warehouse, retain receiving and onward-dispatch counts alongside the original China release record.
When a batch arrives on different days or through different carriers, reconcile each group separately. An overall delivered status should not close an unresolved carton discrepancy. Record any change of carrier, receiving location or carton mapping with the relevant confirmation.

Keep stock statuses distinct

| State | Record to keep |
|---|---|
| Held in China | Accepted units, reserved quantities, storage location and next approval. |
| Allocated or prepared | Batch reference, quantities, current labels and check results. |
| Released to carrier | Carton list, collection date and transport reference. |
| Delivered | Available carrier delivery evidence and exceptions. |
| Received by marketplace | Marketplace receiving record, quantities and reconciliation status. |
Carrier delivery is a transport event. Reconcile marketplace-received quantities separately, and check marketplace records for inventory availability. Do not count the same units in both held stock and a released batch.
When carton or unit counts differ
Compare the approved packing record, shipment plan, per-carton tracking events, delivery documents and marketplace receiving quantities. Identify the affected carton and SKU lines. Agree who contacts the carrier and who manages the marketplace case, then retain requests, documents and dates together.
Delivery evidence can support a review; it does not guarantee marketplace acceptance, reimbursement or a particular dispute result. Use the current instructions shown for your shipment to determine which documents and next actions are required.
Connect each release to the original purchase
A supplier purchase may cover more units than one replenishment shipment. Keep the purchase or supplier dispatch reference, received stock, held balance and each released quantity connected through the same SKU mapping. Preserve supplier names and product identifiers alongside your warehouse and marketplace references.
For each released batch, record the quantity drawn from each receiving lot and the cartons carrying it. If a supplier document groups several products under one description, retain an explanatory mapping to the actual variants without changing the original document. Keep originals and later explanations separately identifiable.
These records help explain the stock movement; they do not replace the documents requested by a marketplace investigation. The seller should follow the current shipment-specific instructions and request clarification about genuinely missing evidence. Never invent or alter a document date, quantity or description to fit a shipment.
Public seller question: A partial warehouse-to-FBA release linked to a larger original purchase. This historical dispute informs traceability, not a promise that a document will be accepted.
Agree the cost of each release
Confirm storage billing, picking or stock movements, new labels, changed cartons, local transfers, bookings and outbound transport. Identify minimum charges and the approval required if the release scope changes.
