A useful warehouse quote begins with a defined shipment and a list of required tasks. Comparing totals is only meaningful when the inputs and included work match.

Describe the goods and order pattern

List each SKU and variant, unit quantities, supplier locations and expected arrival dates. Include packed dimensions and gross weight with their units. Separate measured values from estimates. For customer orders, describe expected monthly orders, pieces per order, SKU combinations and any inserts or gift packaging.

Separate the work into charge items

  • Receiving: deliveries, cartons, quantities and any required reconciliation.
  • Checks and prep: inspection scope, labels, repacking, assembly and materials.
  • Storage: charging unit, start and stop events, estimated holding period and minimum charge.
  • Dispatch: order handling, additional pieces, carton handling and transport.
  • Exceptions: extra labor, failed deliveries, delayed supplier arrivals and return handling.

Ask which items are included, excluded or supplied by a third party. Keep warehouse storage, transport waiting charges and marketplace storage fees on separate lines.

Agree the assumptions and approvals

Record the destination, service scope, currency, quote version and validity period. Confirm how changed quantities, dimensions or packaging affect the quote. Ask how additional work is approved before it starts. A quoted transport estimate needs a stated route and starting event; it should not be treated as a guaranteed arrival date.

Compare the same shipment

Use one inventory brief for each option. Check whether packaging materials, inspection, collection, onward delivery and any destination handling are covered. Identify every unknown rather than filling gaps with generic prices.

Compare a low-volume fulfillment trial

Separate the quantity needed to buy products from the quantity or spend needed to use a fulfillment service. Ask each provider to confirm the applicable minimums for your actual SKU list, packing and destination plan. Low order volume does not establish eligibility or a particular price.

Keep four minimums separate

  • Product purchasing MOQ: units per supplier item or variant.
  • Packaging MOQ: boxes, inserts or other materials purchased separately from product stock.
  • Service minimum: orders, units or work needed for the proposed trial.
  • Billing minimum: any minimum charge per job or billing period.

Confirm whether a monthly minimum replaces eligible usage charges up to that amount, is an additional fee, or uses another calculation. List which charges count toward it. Do not add a minimum twice or assume storage and freight qualify.

Compare the same work at different volumes

Request a pilot, expected monthly volume and a higher-volume scenario using the same SKU mix, parcel sizes, destinations and service scope. Change the order count explicitly and record other changed assumptions. Separate one-time setup, receiving, purchased materials, recurring account charges, storage, per-order handling and transport.

For each scenario, request the total and explain any tier or minimum adjustment. A handling cost per order can be calculated from the agreed handling total divided by fulfilled orders; label its exclusions. When there are no orders, show recurring charges rather than dividing by zero or describing the period as free.

Confirm quiet months and leftover materials

Ask what remains chargeable when orders pause: stored products, packaging materials, account fees or other agreed services. Record the storage unit, start and stop events, billing period, any free period and its conditions. Confirm how unused branded materials are counted and whether transfer or disposal requires separate approval and charges.

Before a trial begins, agree its duration, maximum approved work, reporting, extra-cost approval and review date. A trial is a scoped test, not a promise of an automated connection, waived minimums or future rates.
